Public Employees Retirement Fund (PERF) Sends Automated Voice Reminders Using Vontoo

The Public Employees Retirement Fund (PERF) provides secure, long-term benefits for Indiana’s public employees. Since its creation in 1945, PERF has grown to include six different funds with more than $16 billion in plan assets.

For employees approaching retirement, PERF sponsors more than 200 workshops yearly to prepare them for the transition. Workshop organizers found that employees were attending the workshops, but often forgot to bring the documents they needed to make the workshop productive.

Finding a timely and effective means of reaching workshop attendees was a important, according to David Adams, PERF’s executive director. Workshops are held frequently for small groups of employees ranging from four to forty at a time, making timely reminders to members important. E-mail is not a solution because many members rely on the telephone for quick, convenient communication.

PERF turned to Vontoo to reach seminar participants with a permission–based automated voice message that reminds them about the workshop and the documents they need to bring.

Before each workshop, a member of PERF’s Retirement Services team uses a web browser to log into the Vontoo system and record a message. Lists of registered attendees for individual workshops are imported into the system and the message delivery is scheduled.

Since initiating the automated voice reminders, workshop attendees are showing up more prepared. Many have commented that they appreciated the reminder calls. “Vontoo is a good way to reach people who would be difficult to reach by e-mail,” said to Adams. “One of the best features of Vontoo is the ability to track when a message is delivered: something you can’t do with regular mail.”
